1. Introduction

Sanrachana Academy (SA) is committed to fostering excellence in sports across multiple disciplines while maintaining the highest standards of integrity, safety, and discipline. This policy governs the rights, responsibilities, and expectations of all individuals associated with the Academy, including athletes, coaches, staff, and parents/guardians.

2. Code of Conduct

2.1 For Athletes

  • Maintain discipline, respect, and sportsmanship in all sports and training environments.

  • Follow all training schedules and instructions from coaches.

  • Zero tolerance for violence, bullying, cheating, or discrimination.

  • Adhere to anti-doping and substance abuse policies.

  • Comply with all safety and injury prevention protocols.

2.2 For Coaches & Staff

  • Maintain a safe, positive, and professional training environment.

  • No physical punishment, verbal abuse, or favoritism.

  • Ensure fair and equal treatment of all athletes across all sports.

  • Strict adherence to child protection and safety standards.

2.3 For Parents & Guardians

  • Encourage positive reinforcement and healthy participation in sports.

  • Respect coaching decisions and selection processes.

  • Refrain from abusive, disruptive, or inappropriate behavior at any academy activity.

3. Training, Attendance, Athlete Eligibility & Operational Flexibility

  • Regular attendance in training sessions is mandatory.

  • Absences must be informed in advance.

  • Minimum attendance is required for eligibility in progression and selection.

  • Athletes failing to meet discipline or attendance standards may face temporary restriction.

  • Proper sports attire and safety equipment must be used at all times.

  • Coaches retain final authority over training structure, methodology, and selection decisions.

  • Operational Flexibility & Weather Clause

    The Academy reserves the right to modify training schedules, timings, or session structure when required due to operational needs, facility availability, safety concerns, or weather conditions.

    Training sessions may be rescheduled, shortened, or temporarily suspended in cases of:

    • Heavy rain or unsafe outdoor conditions

    • Extreme weather (heat, storms, poor air quality, etc.)

    • Court or facility unavailability

    • Safety concerns for athletes or coaches

    • Any unforeseen operational circumstances

    In such cases, the Academy will make reasonable efforts to reschedule or adjust training sessions; however, make-up sessions are not guaranteed in all situations.

    The Academy shall not be held responsible for disruptions caused by weather or external conditions beyond its control.

  • Certain sports training activities may include controlled physical contact or game-situation drills as part of standard skill development. All such activities are conducted in a structured, supervised, and age-appropriate environment, with athlete safety as the highest priority at all times.

4. Athlete Progress Tracking System (Monthly Review)

  • Each athlete will undergo monthly performance evaluation.

  • Progress will be assessed on:

    • Skill development

    • Discipline & attendance

    • Physical fitness

    • Game understanding / sport-specific awareness

    • Attitude & teamwork

  • Feedback may be shared with athletes and parents.

  • Training plans may be adjusted based on individual progress.

  • Development is individualized — comparison between athletes is strictly discouraged.

5. Tournament / Competition Selection Transparency Clause

  • Selection for competitions is based on:

    • Training performance

    • Discipline & attendance record

    • Physical readiness

    • Tactical/technical understanding

    • Team or event requirements

  • Selection decisions are made solely by coaching staff.

  • Final selections are merit-based and internally transparent.

  • No external influence or pressure will be entertained.

6. Safety & Injury Prevention

  • Basic first aid will be provided when required.

  • Injured athletes must obtain medical clearance before returning to training.

  • Parents/guardians must disclose pre-existing medical conditions prior to enrollment.

  • All participants must follow emergency and safety protocols.

7. Child Protection & Ethical Standards

  • The Academy strictly follows the POCSO Act, 2012 for child safety.

  • Any misconduct or inappropriate behavior is strictly prohibited.

  • Mandatory background verification is conducted for all staff.

  • Confidentiality and safety of minors are strictly maintained.

8. Anti-Doping & Substance Abuse Policy

  • Use of performance-enhancing drugs, alcohol, or recreational substances is strictly prohibited.

  • The Academy follows National Anti-Doping Agency (NADA) guidelines.

  • Violations may result in suspension or permanent removal.

  • Coaches and staff must actively promote drug-free sports culture.

9. Disciplinary Actions & Grievance Redressal

  • First violation: Warning and counseling

  • Second violation: Temporary suspension

  • Repeated violations: Permanent removal

  • All grievances must be reported to the Disciplinary Committee.

10. Facilities & Equipment Usage

  • Academy property must be respected at all times.

  • Damage or misuse will result in disciplinary action.

  • Littering or misuse of facilities is strictly prohibited.

11. Media & Social Media Policy

  • Members must uphold the Academy’s reputation at all times.

  • Confidential matters must not be shared publicly.

  • Use of Academy name/logo requires prior approval.

12. Fee, Refund & Scholarship Policy

  • Fees must be paid as per schedule.

  • Refunds only in genuine medical cases (management discretion).

  • Scholarships awarded based on merit and need.

13. Mandatory Medical Insurance Policy

13.1 Insurance Requirement

  • All athletes must have valid medical insurance covering sports injuries.

  • Proof must be submitted at enrollment and renewed annually.

13.2 Emergency Care

  • First aid will be provided immediately when required.

  • Additional medical costs are responsibility of parents/guardians.

13.3 Medical Disclosure

  • Pre-existing conditions must be declared before enrollment.

  • Non-disclosure may release Academy from liability.

13.4 Insurance Compliance

  • Athletes without valid insurance cannot participate.

14. Fitness Certificate Requirement

  • A valid medical fitness certificate from a registered doctor is mandatory before participation.

  • Certificate must confirm physical fitness for sports activities.

  • Periodic re-certification may be required.

15. NOC (No Objection Certificate) & Participation Consent

  • Parents/guardians must submit a signed NOC at enrollment.

  • The NOC confirms permission for participation in training, competitions, and events (including travel if applicable).

  • The Academy is not responsible for participation without valid consent.

  • Any withdrawal must be formally communicated in writing.

16. Parent Support & Athlete Development Policy

  • Parents must provide emotional support without performance pressure.

  • Sports development is a long-term process and varies per individual.

  • Comparison between athletes is strictly discouraged.

  • Regular attendance and discipline are mandatory.

  • Parents must ensure consistent participation.

  • The Academy prioritizes long-term development over short-term results.

17. Legal Compliance & Liability Disclaimer

The Academy operates in compliance with applicable Indian laws and regulatory frameworks, including but not limited to:

  • Karnataka Shops and Commercial Establishments Act, 1961 (business operations and employment compliance)

  • Protection of Children from Sexual Offences (POCSO) Act, 2012 (child safety and protection)

  • Minimum Wages Act, 1948 (staff compensation compliance)

  • Participation in sports activities involves inherent risks. The Academy implements reasonable safety measures; however, it shall not be held liable for injuries arising from participation except in cases of proven negligence by the Academy or its staff.

  • Parents and athletes acknowledge and accept these risks prior to enrollment.

18. Liability Waiver & Parental Agreement

  • By enrolling at Sanrachana Academy, parents/guardians confirm and agree that:

    • Injuries are a natural part of sports participation.

    • They will not hold the Academy responsible for accidental injuries arising during training, practice, or competitions.

    • The Academy is responsible only in cases of proven negligence by coaching or staff members.

    • The Academy is authorized to provide basic first-aid and arrange emergency medical assistance when required.

    • The parent/guardian releases Sanrachana Academy from liability for personal injuries except in cases of gross negligence.
